Booking Policies


If you are inquiring about our mobile coffee cart or large custom catering orders, please read our policies first to ensure your special day runs smoothly!

Scheduling

We require a minimum of 2 weeks to plan for custom events (coffee cart & large catering orders)— so the sooner the better for inquiring us to come to your event!

Booking Confirmation

In order to secure our services, a signed contract is required along with your set-up fee deposit. After we nail down the details for your event, we will send over a contract outlining the specifics for your day! The contract must then be signed within 3 business days or we will have to release your date for other booking inquiries. The deposit is a non-refundable booking fee and will be subtracted from the final balance.

Payment

The remaining balance will be due on the day of the event (for weddings, the remainder is due 7 days prior). Payment can be made via cash, credit card, Venmo or Zelle. A 3% transaction fee will be applied for any payment made through Venmo or Square (credit card).

Travel Fee

A travel fee of $1.00 per mile is required for any location outside of 15 miles of Newport, Kentucky. *For example, if your venue is 100 miles outside of Newport, the travel fee would be $85. If travel exceeds 4 hours round trip, or earlier than 8:00 a.m. start time, a hotel room is required the night before. It is the client’s responsibility to book the hotel room.

Setup and Breakdown

Access to the the event location is required at least 1 hour before the event start time for setup and 1 hour after the event for breakdown.

Permits and Licenses

It is the responsibility of the Client to ensure that all necessary permits and licenses are obtained if needed for the event.

Cancellations

If the Client desires to cancel services for any reason, a 30 day notice is required to cancel the contract. The booking fee is non-refundable, but any other payments made will be refunded if cancellation is within the timeframe. In the event the client cancels the service(s) less than 30 days prior to the reserved date, the client is liable for the full remainder of the contracted balance.

Liability

Christian Coffee Company will not be held liable for any damages, injuries, or losses that occur during the event. It is responsibility of the Client to notify Christian Coffee Company of any allergies or intolerances.

Force Majeure

Christian Coffee Company is not responsible for failure to provide services due to circumstances beyond its control, including but not limited to natural disasters, or medical emergencies. If in the case an emergency arises to where Christian Coffee Company cannot serve at the event, we will first reach out to a barista to work the event in place of us. Otherwise, the remaining payment will be refunded to the Client.
